7 Questions to Ask Before Choosing Property Management Software
Choosing the wrong software costs more than choosing none
The market for community and property management software has grown crowded, and that is mostly good news. The bad news is that every product page now looks the same: everyone promises "dues tracking," "online payments," and "reporting." The real differences only surface after six months of daily use — and by then, switching away costs more than never having started.
As the team behind Site-Park, we talk constantly both with communities onboarding onto our product and with boards migrating to us from other tools. From those conversations we distilled seven questions that belong in every sales call. They are deliberately vendor-neutral: whichever product you evaluate, insist on concrete answers to each one.
1. How is my data protected, and who can see what?
This is the most important question and the one asked least often. Property management software holds sensitive personal data: identity details, phone numbers, debt balances, even entry and exit logs. Ask specifically:
- How is data isolated at the database level? The modern approach is Row Level Security (RLS): the database itself checks, on every single query, whether the requesting user is allowed to see each row. In systems where isolation lives only in application code, one bug can expose one community's data to another.
- How are roles separated? A board member, an auditor, a resident, and a security guard should never see the same data. Residents must not see their neighbors' balances; gate staff must not reach financial records.
- What does the vendor provide for data-protection compliance — consent handling, deletion requests, access logs?
"Your data is safe with us" is not an answer. Walk away from any vendor who cannot explain the architecture.
2. Do online payments work end to end?
"We support online payments" means little on its own. What matters is whether the payment is integrated with the accounting. Your checklist:
- Are payments processed through a licensed payment provider (such as iyzico)?
- Does a payment match its charge automatically the moment it clears, or does an administrator reconcile it by hand?
- Is a receipt generated and delivered to the resident automatically?
- Does the collection flow into the operating ledger without manual entry?
If matching stays manual, "online payment" is just a decorated bank-transfer button — and the reconciliation burden of the spreadsheet era survives intact.
3. What does my field team get?
Most products are designed for the manager's desk and forget the doorman, the security booth, and the maintenance crew. Yet most daily operations happen in the field: visitor logs, parcel handovers, repair jobs. Ask:
- Is there a separate, deliberately simple app for field staff?
- Can visitor and parcel records be logged at the gate, on a phone, in a few taps?
- When a resident files a maintenance request, does it reach the technician as a work order — or does the manager relay it by phone, as before?
Software without a field-staff component digitalizes the community's bookkeeping, not its operations.
4. Can I manage multiple communities from one place?
You may manage a single community today, but for professional management firms — and for managers whose portfolio grows — multi-site support becomes essential quickly. Check:
- Can one account switch between communities?
- Are each community's budget, ledger, and reports fully separated from the others?
- How does pricing scale with communities and units? Does a second site mean setting everything up from scratch?
Multi-site architecture cannot be bolted on later; it has to be designed in from the start. Note that this connects directly back to question one: proper multi-tenancy is a data-isolation problem.
5. Will the reports hold up on audit day?
Making report screens look attractive is easy. What matters is whether they produce the outputs your audit committee and your general assembly actually expect. During the trial, ask the system to generate:
- Period-based income/expense statements and the full operating ledger
- Per-unit statements plus an aging report (how many units owe, and for how many months)
- Collection-rate and cash-flow comparisons across periods
- Annotated PDF/Excel exports fit to distribute at the annual meeting
A practical tip: ask the vendor for a live report on sample data resembling yours. Never settle for screenshots.
6. How long will migration take, and what happens to my existing data?
The migration experience matters as much as the product itself; a painful onboarding can render even good software unused. Ask:
- How are my existing spreadsheets and opening balances imported? Is there a ready-made template, and does the vendor perform the import?
- How many days does a typical community need to go live?
- How are residents invited to the app — is there bulk SMS/email support?
- If I ever want to leave, in what format do I get my data back?
The last point deserves emphasis: a vendor that will not export your data is keeping you as a hostage, not a customer.
7. Who will answer when something breaks?
If payments fail on dues day, "we respond within 48 hours" is not acceptable. Pin down the support story:
- Which channels exist (phone, WhatsApp, in-app) and during which hours?
- Is there a committed response time for critical incidents?
- Is the product actively developed? Ask for the past year's release history — a stagnant product will fall behind regulatory changes within two years.
- When a new board is elected, how are handover and training supported?

Closing thoughts
The right property management platform carries more than this month's dues table. It carries the audit five years from now, the next board handover, and your community's institutional memory. Base the decision on concrete answers to the seven questions above — not on the polish of a landing page.
